This Privacy Policy explains how Pixster Studio (“Pixster Studio”, “we”, “us” or “our”) collects, uses, shares and protects information when you use the Note QA Android application and its related services (the “App” or “Services”).
We are committed to protecting the privacy of all our users globally. If you are located in the European Economic Area (EEA), the United Kingdom (UK), California (USA) or another region with data protection laws, this policy is also intended to meet the requirements of those laws, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), as amended by the CPRA.
By using the App, you acknowledge that you have read this Privacy Policy. If you do not agree with it, please do not use the App.
What Note QA does
Note QA is an AI-powered note-taking app. Its main features are:
Recording and transcription – record audio and turn it into a written transcript.
Live transcription – see a transcript in real time while you record, including AI Live Conversation.
Quick Notes – write or dictate short notes and attach photos.
Meetings (Premium) – connect your Google or Outlook Calendar, and have Note QA join a Google Meet, Zoom or Microsoft Teams call when you paste a meeting link, so the call can be recorded and transcribed.
File transcription – import PDF, text, audio and video files to transcribe or extract their content.
Structured Folders – organize your notes into folders.
AI features – summaries, AI Chat about your notes, and other AI-generated content based on your notes and transcripts.
Information we collect
2.1 Information you give us
Account information: when you create an account or sign in (for example with Google or email), we collect your name, email address and sign-in credentials or authentication token. You may also add a profile photo in Edit Profile.
Your content: audio recordings, transcripts, Quick Notes, notes, pinned comments, photos you attach, folders and folder names, and files you import (PDF, text, audio and video).
AI Chat and voice input: the questions you type or dictate in AI Chat and the responses generated for you.
Meeting information (Premium): meeting links you paste, and the audio, transcript and participant names captured from meetings you send Note QA to.
Support and feedback: any information you include when you contact us.
2.2 Information from connected calendars (Premium)
If you choose to connect your Google Calendar or Microsoft Outlook Calendar, we access calendar event details such as the event title, date and time, attendees, organizer and the video-call link. We use this only to show your upcoming meetings in the App and to let Note QA join and transcribe the meetings you select. We do not modify or delete your calendar events. You can disconnect a calendar at any time in the App, or by removing Note QA’s access in your Google or Microsoft account settings.
2.3 Information collected automatically
Device and app information: device model, Android version, app version, language, time zone, and identifiers such as an app instance ID or Firebase installation ID.
Usage information: features you use, screens you visit, session length, usage counts (for example, transcription minutes used against your plan’s limits) and similar interaction data.
Diagnostics: crash reports, error logs and performance data.
Purchase information: your subscription status, plan and transaction identifiers. Payments are processed by Google Play; we do not receive or store your full payment card details.
We do not collect your precise location, contacts, SMS, call logs or browsing history.
App permissions
Note QA asks for Android permissions only when a feature needs them. You can grant or revoke any permission at any time in your device’s Settings. If you deny a permission, the related feature will not work, but the rest of the App remains available.
Microphone (RECORD_AUDIO) – To record audio for Record & Transcribe and AI Live Conversation, and for voice typing in Quick Notes and AI Chat. Only when you start one of these features.
Camera (CAMERA) – To take a profile photo in Edit Profile, and to take photos to attach to Quick Notes, notes and pinned comments. Only when you choose “Take Photo”.
Notifications (POST_NOTIFICATIONS) – To send reminders and tips, meeting status updates, “processing complete” alerts and usage-limit warnings. Can be turned on or off at any time in Settings.
Alarms & reminders (SCHEDULE_EXACT_ALARM) – To show local reminder notifications at the exact times you set. Reminders are scheduled on your device. Used when you set a reminder. On Android 14 and later, you may be asked to allow “Alarms & reminders” for Note QA in Settings.
Files you import (PDF, text, audio and video) are selected by you through the Android system file picker. Note QA only receives the specific files you choose and does not scan your device storage. Photos you take are used only for the purpose you selected them for.
The microphone is used only while a recording or voice-typing session you started is active. We do not listen in the background or record without your action.
How we use your information
To provide the Services: recording, transcription, live transcription, file transcription, meeting joining and transcription, summaries, AI Chat, folders, reminders and syncing your content to your account.
To manage your account and subscription: sign-in, verifying Premium access and tracking usage limits.
To communicate with you: notifications you have allowed, service-related messages (such as account, security or subscription notices) and, where permitted by law or with your consent, information about new features. You can opt out of promotional messages at any time.
To maintain and improve the App: analyzing app performance, crashes and how features are used, so we can fix problems and build new features.
To keep the Services secure: preventing, detecting and responding to fraud, abuse, security incidents and other unauthorized activity.
To comply with the law: meeting legal obligations, responding to lawful requests and enforcing our Terms of Use.
We do not sell your personal information, and we do not use the content of your recordings, transcripts, notes or files for advertising.
AI processing
To provide transcription and AI features, your audio, files, notes and transcripts are sent securely (encrypted in transit) to our servers and to trusted third-party service providers that process them on our behalf:
Speech-to-text: audio from your recordings, live transcription sessions, meetings and imported audio and video files is sent to Deepgram, Inc. to convert speech into text.
AI features: transcripts, notes and the questions you ask are sent to our AI service providers to generate summaries, AI Chat responses and other AI content.
These providers may use your data only to deliver the requested result to us. We have opted out of Deepgram’s model improvement program, so your audio and transcripts are not used to train Deepgram’s models.
AI-generated content, including transcripts, summaries and AI Chat responses, may contain errors or omissions. It is not professional advice (legal, medical, financial or otherwise). Please review important information before relying on it.
Google and Microsoft user data
Note QA’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, for data received from Google (such as Google Calendar data and Google sign-in information):
We use it only to provide and improve the user-facing features described in this policy.
We do not transfer it to others except as needed to provide those features, to comply with applicable law, or as part of a merger, acquisition or sale of assets with notice to you.
We do not use it for advertising, and we do not sell it.
We do not use it to develop, improve or train generalized or non-personalized AI or machine-learning models.
We do not allow humans to read it unless you give us permission, it is necessary for security purposes or to comply with law, or the data has been aggregated and anonymized.
We apply the same protections to calendar data received from Microsoft, which we use in line with Microsoft’s applicable terms.
Meetings and recording other people
When you send Note QA to a Google Meet, Zoom or Microsoft Teams call, a meeting bot operated for us by our service provider Recall.ai, Inc. joins the call as a visible participant. It captures the meeting recording, participant names and speaker information, which are then transcribed (via Deepgram) to create a transcript and notes for you. Recall.ai processes this data only on our behalf to provide the Meetings feature. When you record a conversation in person, the voices of other people may be captured.
You are responsible for informing the other participants and obtaining any consent required by law before recording or transcribing them. Recording laws differ by country and state, and some require the consent of everyone in the conversation. If you are a participant in a meeting recorded by a Note QA user and want information removed, please contact that user or contact us at the address below.
How we share information
We share information only in the following situations:
Service providers: companies that help us run the Services and may use your information only to provide services to us. These include:
Recall.ai – meeting bot that joins and records Google Meet, Zoom and Microsoft Teams calls (Meetings feature);
Deepgram – speech-to-text transcription of recordings, live sessions, meetings and imported audio and video;
AI service providers – summaries, AI Chat and other AI-generated content;
Google Firebase – analytics and crash reporting;
cloud hosting and customer support providers.
Platform providers: Google Play for purchases and subscriptions, and Google or Microsoft when you choose to connect their calendars or sign in with them.
Legal reasons: when required by law, court order or other legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property or safety of Pixster Studio, our users or others, or to detect and prevent fraud.
Business transfers: in connection with a merger, acquisition, financing or sale of assets, subject to this Privacy Policy.
With your consent: for example, when you choose to export or share a note, transcript or summary with someone else.
Information that Google receives through Firebase is also subject to Google’s privacy policy at policies.google.com/privacy. You can learn more at How Google uses information from sites or apps that use its services.
Legal bases for processing (EEA and UK)
Pixster Studio is the data controller responsible for your personal information. For meeting recordings you make of other people, you are responsible for having a lawful basis to record them (see Section 7).
Contract: to provide the App and the features you ask for, and to manage your account and subscription.
Consent: for device permissions, connecting calendars, notifications and optional marketing. You can withdraw consent at any time.
Legitimate interests: to keep the App secure, prevent fraud, analyze usage and improve our Services, where these interests are not overridden by your rights.
Legal obligation: where we must process information to comply with the law.
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects. AI features only generate content for you to review.
Data retention and deletion
We keep your account information and content for as long as your account is active, so you can access it across sessions and devices.
How to delete your Note QA account
To request deletion of your Note QA account and all associated data, email us at feedback@pixsterstudio.com:
Use the subject line “Note QA account deletion request”.
Send the email from the email address linked to your Note QA account, so we can verify that the request comes from you. If you can’t, include that email address and we may ask you to confirm your identity.
You do not need to have the App installed to make this request. We will confirm when we receive it and again when your account has been deleted.
What we delete: your account and profile information (name, email address, profile photo), and all your content, including recordings, transcripts, Quick Notes, notes, pinned comments, photos, imported files, folders, AI Chat history and connected calendar access.
When: we delete this data from our active systems within 30 days of verifying your request. Residual copies in secure backups are removed within 90 days.
What we may keep: limited information where required by law, to resolve disputes or prevent fraud, and subscription transaction records as required for tax and accounting purposes.
If you only want to delete specific content, you can delete individual recordings, notes, files and folders in the App at any time without deleting your account.
Deleting the App from your device does not delete your account. Cancelling your subscription must be done separately in Google Play.
Data security
We use appropriate technical and organizational measures to protect your information, including encryption in transit (HTTPS/TLS), encryption at rest on our cloud infrastructure, and access controls that limit who can access your data. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. Please keep your device and sign-in credentials secure.
International data transfers
Your information may be processed in countries other than the one you live in, including where our service providers operate. For example, Recall.ai and Deepgram are based in, and process data in, the United States. When we transfer personal data from the EEA, UK or other regions with transfer restrictions, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.
Your rights
Depending on where you live, you may have some or all of the following rights:
Access: request a copy of the personal information we hold about you.
Correction: correct inaccurate or incomplete information. You can update most profile information directly in the App.
Deletion: ask us to delete your personal information.
Restriction and objection: ask us to limit or stop certain processing, including for direct marketing.
Portability: receive your information in a portable format.
Withdraw consent: at any time, where processing is based on consent, without affecting processing that took place before.
Complain: lodge a complaint with your local data protection authority.
California residents (CCPA/CPRA)
In the past 12 months we have collected the following categories of personal information: identifiers (such as name, email address and device identifiers); commercial information (subscription status); internet or electronic network activity (app usage and diagnostics); audio and visual information (recordings and photos you provide); and the content of your notes and files. We collect these from you, your device and services you choose to connect, for the purposes described in Section 4. We do not sell or “share” personal information for cross-context behavioral advertising, and we do not use sensitive personal information for purposes that require an opt-out. You have the right to know, delete and correct your information, and we will not discriminate against you for exercising these rights.
Users in India (DPDP Act, 2023)
If you are in India, you have the right, under the Digital Personal Data Protection Act, 2023 and its Rules, to access a summary of your personal data and how it is processed, to correct, complete, update or erase it, to withdraw your consent at any time (as easily as you gave it), to have your grievances addressed, and to nominate another person to exercise your rights in the event of your death or incapacity. If you are not satisfied with our response to a grievance, you may complain to the Data Protection Board of India.
Grievance Officer: you can contact our Grievance Officer at feedback@pixsterstudio.com. We will acknowledge your grievance and respond within the time required by applicable law.
To exercise any of these rights, contact us at feedback@pixsterstudio.com. For your protection, we may need to verify your identity before responding. We may decline requests where permitted by law, for example where the request would affect the rights of others.
Children’s privacy
Note QA is not directed at children under 13 (or the minimum age required in your country), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time, for example when we add features or when laws change. We will revise the effective date at the top of this page and, for material changes, notify you in the App or by other reasonable means. Your continued use of the App after an update means you accept the revised policy.
